How does a community let residents reserve the clubhouse and pool without a sign-up sheet?

A short walkthrough of amenity reservations in HOA-OS. Each space keeps its own weekly slots, a resident books an open one, and a taken slot stops being offered.

Most communities run pool and clubhouse bookings off a paper sign-up sheet, a shared calendar nobody keeps current, or a text to whoever has the key. Two families show up for the same Saturday, and somebody has to sort it out at the door.

In HOA-OS each space keeps its own weekly time slots. A resident books an open one, and a space that needs board approval waits for it. Once a slot's taken, it stops being offered to anyone else.

What the video covers

  • The community's spaces on the board's Amenities page, with each one's capacity and whether a booking needs approval
  • One space's weekly schedule and cancellation window
  • A resident picking a date and seeing that day's open slots
  • A pool booking, confirmed as soon as it's made
  • A clubhouse request that lands pending
  • The board approving the request
  • A second resident looking at the same Saturday after the approval
  • Approval sends the resident nothing

The full walkthrough, in words

On the board's side, Amenities lists every space the community offers. Each one shows its capacity and whether a booking needs sign-off before it's confirmed.

Open a space and you see how it's set up. The pool has a weekly schedule and a cancellation window.

On the resident's side, booking starts with a date. Pick one, and the open slots that space has that day come up, exactly as the board set them. The pool doesn't need anyone's sign-off, so the booking is confirmed the moment it's made.

The clubhouse books the same way, except it's set to require approval. Requesting an open slot doesn't confirm it. The request lands pending.

Back on the board's side, the request is there, pending, beside a booking that's already been decided. The board approves it, and the status updates on the booking.

Now a second resident opens the clubhouse for that same Saturday. The daytime rental the board just approved is no longer offered. Only the evening slot remains.

Approving a request updates the booking's status. It sends the resident nothing.

Questions boards ask about this

Does every booking need the board's approval?

Only for a space set to require it. In the walkthrough the pool confirms on booking and the clubhouse waits for approval.

What happens to a slot once it's taken?

It stops being offered. After the board approved the clubhouse's daytime rental, a second resident looking at that Saturday saw only the evening slot.

Does the resident hear when the board approves?

Approving updates the booking's status. It sends the resident nothing.

Where does a resident see what's open?

On the resident's side of HOA-OS. They pick a date, and that day's open slots for the space come up as the board set them.
