Your HOA board is trusted with the community's money, its records, and residents' personal details. HOA-OS is built so that protecting that trust is the software's job too, not the board's alone. In short: every community's data is isolated and encrypted, payments move through Stripe so HOA-OS never holds your funds, you can export everything and leave at any time, and personal details are stripped out before anything reaches the AI. The short film below walks through each of those in plain language.

Security often gets explained in jargon that a volunteer board has no reason to decode. Here is what HOA-OS actually does, in four plain points, followed by answers to the questions boards ask most.
Your data stays your community's
Every HOA on HOA-OS lives in its own secure space, walled off at the database itself. One community can never see another's information. Because that separation happens at the database level, it does not depend on any single screen or setting to keep communities apart. Your data is encrypted on the way in and while it is stored, and every sensitive action is recorded, so there is a trail of who did what and when.
And HOA-OS does not sell your data. Not now, not ever. The information your community puts into the system stays your community's, used to run your HOA and nothing else.
HOA-OS never touches your money
Payments flow through Stripe, straight into your community's own bank account. HOA-OS never holds your funds, and never sees a card number. The money moves between the resident and your bank; the software simply records that it happened.
When you connect a bank account, that connection is read-only and protected by extra verification. HOA-OS can see that a payment cleared, but it can never move a dollar. For a board handling other people's dues, that separation matters: the tool that tracks the money is not a tool that can spend it.
Your data is yours, even if you leave
You can export everything, at any time. Your records are not held hostage inside the platform.
If you cancel, you keep a 30-day window to take all of your data with you. After that window, it is permanently deleted. There is no lock-in and no penalty for leaving. Your data leaves with you, which is the way it should work when a volunteer board is deciding whether to trust a new system. Trying HOA-OS is not a one-way door: if it turns out not to be the right fit, your records come with you and nothing is stranded inside the platform.
The AI only sees what it needs to
HOA-OS uses AI to help with the work, but it is built to see as little as possible. Before anything reaches the AI, personal details, including names, emails, phone numbers, and addresses, are stripped out.
The AI helps draft, summarize, and organize. It never needs to know who a resident is to do that, so it does not get that information in the first place. In practice that means the assistant works on the content of the task, not on the identities behind it, which keeps residents' personal details out of the part of the system that uses AI.
Frequently asked questions
Can other HOAs on the platform see our data? No. Each community is isolated at the database level, so one HOA can never see another's information.
Is our data encrypted? Yes. Data is encrypted on the way in and while it is stored, and sensitive actions are recorded in an audit trail.
Does HOA-OS ever hold our money? No. Payments run through Stripe directly into your community's own bank account. HOA-OS never holds funds and never sees a card number.
What can HOA-OS do with our connected bank account? A connected bank account is read-only and protected by extra verification. HOA-OS can confirm that a payment cleared, but it cannot move money.
What happens to our data if we leave? You can export everything at any time. After you cancel, you have a 30-day window to take all of your data with you. After that, it is permanently deleted. There is no lock-in.
Does the AI see residents' personal information? No. Names, emails, phone numbers, and addresses are stripped out before anything reaches the AI.
Do you sell our data? No. HOA-OS does not sell your data.
Protection your community can count on
Your board is already trusted with the community's money, records, and neighbors' personal details. HOA-OS is designed so the software carries that responsibility alongside you, not the other way around. To see how it fits with the rest of your community's operations, take a look at HOA-OS, or get in touch with any questions about security or data ownership.
